When spreadsheets and email are no longer enough—or a packaged tool has not reduced the work—the answer is not automatically a large custom system. Start by separating what a standard product can do well from the parts of the workflow that genuinely need to fit your business.

SaaS products can be quick to adopt and suit many standard tasks. Custom work becomes worth exploring where important data or steps stay disconnected, people keep entering the same information twice, or the customer experience itself is part of the advantage.
1. Map the work as it happens now
List who receives information, checks it, decides something, and passes it on. When spreadsheets, email, paper, and existing tools are visible together, it becomes easier to identify the manual work that should disappear and the human judgment that should remain.
2. Know where SaaS and custom work each fit
Accounting, standard sales tracking, and basic scheduling may be well served by existing products. Distinctive search and filtering, member or customer portals, applications, document handling, and data connections between services are more likely to benefit from a tailored layer.
3. Start with a focused first release
Do not replace everything at once. A first release might focus on an enquiry route, search, administration, or data import where it can reduce errors or waiting time quickly. Real use then informs the next useful stage instead of producing unnecessary features.
4. Choose technology for its role
A CMS can handle editorial content, APIs can connect existing services, and a dedicated application can support a distinctive workflow. Rust is an option where performance or safety characteristics matter; it is not the reason to create a system in the first place.
